Terms & Conditions

Last updated: 2026

1. Agreement to terms

These Terms & Conditions ("Terms") govern your access to and use of the Openesia Meetings platform. By creating an account, accessing the service, or allowing the notetaker to join your meetings, you agree to be bound by these Terms on behalf of yourself or the organization you represent.

2. Use of the service

You may use Openesia Meetings in accordance with these Terms and any applicable order forms or subscription plans. You are responsible for:

  • Ensuring that meeting participants are informed as required.
  • Maintaining accurate account information and access controls for your organization.
  • Using the platform only for lawful purposes and in compliance with applicable regulations.

3. Customer content

"Customer Content" includes recordings, transcripts, summaries, and any other data submitted to or generated within the platform on your behalf. You retain ownership of Customer Content. You grant Openesia a limited, worldwide, royalty-free license to host, process, and use Customer Content solely to provide and improve the service, and to meet legal and security obligations.

4. Plans, billing, and taxes

Access to Openesia Meetings is provided on a subscription basis. Plan limits, pricing, and features (including trial usage, seat counts, and retention) are described on the pricing page or in your order form. Subscriptions renew automatically unless canceled in accordance with the applicable terms. Taxes, where applicable, are your responsibility.

5. Security and compliance

Openesia implements security measures such as encryption in transit and at rest, access controls, and audit logging. We aim to align with frameworks such as SOC 2 and GDPR. You are responsible for configuring roles, retention, and data residency settings appropriate to your organization.

6. Acceptable use

You agree not to misuse the service, including by attempting to gain unauthorized access, reverse engineer core systems, or use the platform to store or transmit content that is unlawful, abusive, or infringes the rights of others.

7. Warranties and disclaimers

To the maximum extent permitted by law, the service is provided "as is" without warranties of any kind, whether express, implied, or statutory. We do not guarantee that summaries or transcripts will be error-free, though we work continuously to improve accuracy and reliability.

8. Limitation of liability

To the extent permitted by law, Openesia's aggregate liability arising from or relating to the service is limited to the amounts paid or payable by you for the service during the twelve (12) months prior to the event giving rise to the claim.

9. Changes

We may update these Terms from time to time. If we make material changes, we will provide notice through the service or by other appropriate means. Continued use of the platform after such updates constitutes acceptance of the revised Terms.
